This privacy policy explains how Something Happening (“we”, “us” or “our”) collects and uses personal information when you visit somethinghappening.co.uk, contact us, or take part in research, interviews, workshops or other activities connected with our creative projects.

Information you provide through our contact form
When you submit a form on this website, we may collect:

your telephone number, if requested;
the contents of your message;

technical information associated with the submission, such as the date and time it was submitted.
Please do not include sensitive personal information in a form submission unless it is necessary.
The form is provided through Squarespace, our website hosting provider. Form submissions are sent to our email account.
We use this information to read and respond to your enquiry, provide information or services you have requested, manage our relationship with you and maintain appropriate administrative records.
Our lawful basis will normally be our legitimate interests in responding to enquiries and operating our organisation. If your enquiry concerns a service or proposed agreement, we may also process the information because it is necessary to take steps at your request before entering into a contract or to perform a contract with you.
We do not use contact-form information to send marketing communications unless you have specifically agreed to receive them.
Information from audience members and event attendees
As part of our work producing arts and cultural projects, we may collect personal information from people who attend our events, as well as people who take part in interviews, research, workshops or other creative-development activities.
If you book or attend an event, including a free event, we may collect information such as your name, contact details, booking and ticket information, payment information where applicable, access requirements, and information you choose to provide when registering or giving feedback. We use this information to manage bookings and attendance, communicate important information about the event, process payments where applicable, provide requested access arrangements, evaluate our work and maintain appropriate administrative records.
Our lawful basis will normally be our legitimate interests in organising, delivering and evaluating our events. Where you purchase a ticket, we may also process information because it is necessary to fulfil our contract with you. Payment details may be processed directly by ticketing or payment providers and we do not necessarily receive or retain your full payment card information.
We will not use information provided when booking an event to send you marketing communications unless you have specifically agreed to receive them.
Information from participants
If you take part in one of our creative projects, we may collect information such as your name and contact details, correspondence with us, audio or video recordings, interview transcripts, photographs, consent records, and information about how you would like your contribution to be used or credited.
We will tell you before you take part what information we intend to collect, why we are collecting it and how it may contribute to the relevant creative project. Where appropriate, we will also provide specific participant information and consent materials setting out your choices about anonymity, attribution and use of your contribution.
Our lawful basis for processing ordinary personal information for these purposes will normally be our legitimate interests in researching, developing, producing and administering our artistic and cultural work.
Some events and creative projects may involve you choosing to provide sensitive information about yourself – for example, when requesting an access adjustment, completing an audience survey or discussing personal experiences as part of an interview. This can include information about racial or ethnic origin, political opinions, religious or philosophical beliefs, trade-union membership, health, sex life or sexual orientation. This is known as special category personal data. Where we ask you to provide this information and rely on consent to process it, we will ask for your explicit consent where required. You do not have to provide sensitive information unless we have made clear that it is necessary for a particular service or activity.
Where we rely on your consent, you can withdraw it at any time while the information can still be linked to you. If you do so, we will stop using the relevant information on the basis of your consent and delete or anonymise it as appropriate.
For some creative projects, information from interviews or other contributions may subsequently be anonymised and incorporated into creative material. Once information has been genuinely anonymised so that it can no longer reasonably be connected to you, it is no longer personal data and it may not be possible to identify and remove your individual contribution. Where this is relevant, we will explain the process and any applicable withdrawal deadline before you take part.
Some projects may also give participants additional choices about the creative use of their contribution – for example, whether they are named or anonymous, whether they can review material derived from their contribution, or whether they can ask for particular material not to be publicly used. These arrangements will be explained in the participant information for the individual project.

6. How long we keep your information

We normally keep:
contact form submissions and related correspondence for 24 months after the enquiry has been resolved;
information connected with a contract or financial transaction for the period required by applicable legal, tax and accounting obligations;
booking and attendance records for 3 years after the relevant event or project has ended, except where linked to a payment, where it will be kept for the period required by applicable legal, tax and accounting obligations;
analytics information in accordance with our Squarespace settings and cookie choices; and
recordings, transcripts, consent records and other information connected with research or creative participation for the period needed to develop and deliver the relevant project.
Where you take part in a research or creative project, we will tell you about any specific retention period or withdrawal deadline that applies to your contribution.
Where material has been genuinely anonymised and can no longer reasonably be connected to an individual, it is no longer personal information. Anonymised material that forms part of a creative work or its underlying research may therefore be retained as part of that work and its archive.
We may retain personal information for longer where this is necessary to establish, exercise or defend legal claims or comply with a legal obligation.
7. How we protect your information
We take reasonable technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure, loss or misuse.
Access to sensitive research and participant information is restricted to people who need it for the relevant project. Recordings, transcripts and other research material are stored securely and, where appropriate, identifying information is separated from working research material. We anonymise or pseudonymise participant material where this is appropriate to the project.
However, sending information over the internet can never be guaranteed to be completely secure. Please take care when deciding what information to send through the website or by email.
8. Your rights
Depending on the circumstances, UK data-protection law may give you the right to:
ask for a copy of the personal information we hold about you;
ask us to correct inaccurate or incomplete information;
ask us to delete your information;
ask us to restrict how we use your information;
object to our use of your information;
receive certain information in a portable format;
withdraw your consent at any time, where we rely on consent; and
complain to the Information Commissioner’s Office.
You have the right to object where we process your personal information on the basis of our legitimate interests.
These rights are not absolute and may be subject to legal exceptions. If information has been genuinely anonymised so that it can no longer reasonably be linked to you, these data-protection rights will no longer apply to that anonymised material.
Where a creative project gives you additional rights over how your contribution is used – for example, a right to review or veto material derived from an interview – these are separate from your rights under data-protection law and will be explained in the participant information for that project.
